Operations Manager

Location: Hybrid Remote (based Detroit Metro / SE Michigan)
Salary Range: $75,000 to $95,000 based on experience, plus benefits
Position Summary:
ROSE Ingleton MD is the first clinical skincare brand that centers skin of color. Founded in 2019 by board-certified dermatologist and foremost expert on skin of color Dr. Rosemarie Ingleton, the brand is available at Sephora.com, Thirteen Lune, Revolve, and RoseMDSkin.com.
We seek an experienced, detail-oriented professional with a strong, demonstrable background in consumer goods operations to join our team and lead wholesale and e-commerce operations, sales administration, supply chain management, and general operations/reporting.
Reporting to the President, this role is a critical hire for the brand to support the next phase of our growth. Consumer goods experience and a passion for startups are necessary. We are a small, remote team, and this role is responsible for supporting our products and operations from product brief to sale through our retailers.
Key Responsibilities:
E-commerce Operations
- Oversee Shopify DTC operations, liaising with the fulfillment center and warehouse to ensure seamless delivery of products to customers
- Audit monthly invoices from warehouse and 3PL for accuracy and processing
- Report on monthly DTC sales, revenue, and profit
- Maintain and update Shopify product pages in partnership with Marketing Director
- Collect evidence and dispute customer chargebacks as needed
Wholesale Operations
- Act as main point of contact for wholesale partners: Sephora, Thirteen Lune, Revolve, CO Bigelow, and professional channel partners
- Share inventory status, new product updates, and solicit POs from all partners
- Maintain SKU catalogues and terms master document, with channel breakdown
- Receive purchase orders (both EDI and email) and liaise with 3PL for fulfillment and delivery
- Maintain wholesale log and tracker for all POs on weekly basis, review with team on monthly basis
- Support launch of professional channel expansion to doctor offices, medical spas, and aestheticians
- Collect evidence and dispute wholesale partner chargebacks as needed
Product Development Project Management
- In partnership with team, lead product development project management from conception to launch (no more than 2 launches per year)
- Aggregate product briefs, and liaise with product formulator through development to tech transfer, keeping team and contractors on schedule, maintaining timelines and COGS
- Liaise with existing contract manufacturers to produce bulk, fill and pack; and deliver to warehouse
- Identify, source, and secure primary and secondary packaging for new launches
- Maintain COGS worksheets with updated information on monthly basis
Supply Chain Management
- Oversee inventory management to optimize stock levels and minimize shortages
- In partnership with finance team, lead annual forecasting, including review and adjustment on quarterly basis to ensure appropriate stock levels
- Owns 3PL relationship and process maintenance
- Manage component/raw materials inventory at contract manufacturers and partners
- Responsible for finished goods inventory at warehouse and fulfillment
- Manage logistics, including coordinating freight transfers and liaising with freight companies
- Complete SKU number alignment and revision, confirm product information is up-to-date and accurate
- Maintain compliance with all Sephora vendor requirements, including pack sizes, shipping forms, GTIN codes, and UPCs
- Liaising with existing vendors for all replenishment orders, including primary and secondary packaging
- Project management of vendor relationships and initiatives
General Operations / Reporting
- Responsible for updating weekly wholesale sell-through reports
- Maintain wholesale log and review with team on monthly basis
- Support finance team in providing vendor invoices for AP
- Ensure warehouse inventory of packing and shipping materials
- Manage outsourced customer service team, liaising as needed
- Update operations and customer service SOPs on regular basis
- Manage and execute orders for gratis shipments to press, investors, VIPs, etc.
- Support team in monitoring, tracking, and reporting on key operational issues affecting the business
Preferred Experience:
- Demonstrated operational excellence with established omnichannel experience
- Strong beauty or CPG industry experience required
- Shopify and Sephora.com experience required
- EDI experience required, preferred knowledge of SMSCommerce
- Background working with ERP systems and integrations
- Experience identifying, tracking, and reporting on relevant KPIs
- Proven ability to plan and execute project initiatives effectively and efficiently
- Bachelor’s degree or equivalent experience
- Proficiency in Google Workspace (Docs, Sheets, Slides), Slack, Microsoft Excel, Gorgias, etc.
- Familiarity with project management tools for efficient task management, such as Asana
